Before you use it

Works well for

  • Weekly timesheets with breaks and night shifts
  • Overtime with weekly and daily limits
  • Converting h:mm to decimal hours

Not the right tool for

  • California double time and other special state rules
  • Official payroll: taxes and deductions aren't included
  • Several workweeks at once — do one week at a time

How to use it

  1. Type the in and out times for each day and the unpaid break in minutes. Leave days off empty.
  2. Set your overtime rule. The US federal rule (FLSA) is overtime after 40 hours in a workweek; some states, such as California, also count hours over 8 in a day.
  3. Add your hourly rate to see gross pay, with overtime at 1.5× by default.

Decimal hours for payroll

Payroll systems usually want decimal hours: 7 hours 45 minutes is 7.75, not 7.45. Every total is shown both ways. To convert yourself, divide the minutes by 60.

Overnight shifts

If a shift ends after midnight (say 10:00 PM to 6:00 AM), the calculator adds the hours past midnight correctly to that day.

Frequently asked questions

How is overtime calculated?

Hours over the daily limit (if you set one) count as overtime first. Then any remaining regular hours over the weekly limit are overtime too, so no hour is counted twice.

Are breaks paid?

Short breaks (usually under 20 minutes) are generally paid under US federal rules, while meal breaks of 30 minutes or more usually aren't. Enter only unpaid break time.
